If there is an employee in your company who has shown any behavior which is against the rules and regulations of a company or has acted in a way which hampers the reputation then you have all the right to terminate him for a cause. You can do so by writing a formal letter of termination which mentions the cause and confirms the termination of the employee. The manager or supervisor or HR manager are some of the people who write such letters. At first a termination meeting is conducted with the employee. This meeting is conducted one the company has some proof which is necessary to fire the employee and then the termination letter is written which contains everything that has been discussed and concluded during the meeting.

Here is a sample format to help you understand the right frame and format for creating such a letter. Use this template for writing your own customized formal letter.

Dear Mr. Smith,

This letter confirms that your employment with ABC Corporation Pvt. Ltd. is terminated for cause as discussed in the meeting today, effective immediately.

As discussed during the termination meeting, the reason for terminating your employment is that because you have been found guilty of sharing company’s confidential information with a client despite being told by your supervisor and also by your department head that this confidential information is not to be shared with anyone outside the department without management’s consent.

Such an action is completely against the rules and regulations of the company and you have violated the rules despite being warned.

Not only this, in order to cover your actions, you tried involving other employees of your department into this. This behavior is again against the code of conduct of our company.

Your final paycheck will include the payment of your accrued PTO which you will receive on the scheduled pay day of the company. We can have your paycheck mailed to your residential address or you can coordinate with your supervisor and have it collected as per your convenience.

We have received from you your office keys, company owned mobile phone, company owned laptop and your employee identification card at the termination meeting.
