How to Write a Permission Letter

Permission letter is an official letter written to authorize an individual to perform a particular task. It covers all the specific points related with the permission including the relationship between you and the person you grant permission, reason for the consent, time frame and the limits of authorization. It also serves as a legal document of consent. It could be for a class trip, event, bank account handling, documents signature, business meeting or other official and personal issues.

It could be for some of your personal matter or something formal related with your work place. If you are writing this for your child’s travelling, school trip, dance class or something similar to it, address it to a teacher or headmaster. On other hand if it is written for a bank account handling, credit card access, document signature, it would be addressed to the higher authority of the concerned department. Here are some good tips that you can follow as guidelines on how to write a letter of permission.

  • Make it with a clarity and confidence in tone to provide authenticity. It should easy toi understandable and free from vague.
  • Create a meaningful and concise letter to serve your purpose.
  • Compose it on an official letterhead. If you do not have a formal writing pad, use a fine quality paper to draft this crucial document.
  • Follow the standard format of business letter writing as this is a highly profession correspondence.
  • Do not forget to include the current date. Write the date clearly without abbreviation.
  • Create a short and snappy subject line by including some relevant fact to let the recipient know beforehand what the letter will be about. Write “Permission Letter for…….” or something similar to it.
  • Address it to the appropriate authority. Write down a formal salutation to start the main body of the letter. Write “Dear Mr. / Mrs. / Ms…….” if you know the exact name of the recipient and if in doubt, “To Whom It May Concern” or “Dear Sir or Madame” will work.
  • Write full name of the person you are granting permission. Do not write nick name even if you share a close relationship with the person as this is a formal document.
  • Write the purpose of the writing in the opening lines. Spell out the exact event, purpose, task or duty for which you have made someone authorized.
  • Mention the exact date and the duration of the permission, for which the permission will be considered valid.
  • Provide your contact number and request the reader to contact you in case of further clarification.
  • Do not forget to thank the reader for his consideration in the end.
  • Use formal complimentary closure for it.  “Sincerely”, “Regards,”, “Truly” or anything similar to it is best choice for it.
  • Proofread it carefully. Avoid grammatical or spelling errors. Make an error free document of permission as it will serve you as a legal document.
  • Put your signature to make it valid and send it.
