Tips for Writing an Effective Criticism Letter

Criticism letter is usually written to inform someone about some of their personal or professional mistakes or objectionable points in a formal manner.  It is generally written either after an out of control matter or after a continuous ignorance of the reader for particular issue. Critical analysis of some important matter for the improvement of the reader is the basic purpose of this writing.

It is the perfect way to inform your business associate, colleague, friend or anyone about their faults. It is a very sensitive form of writing so it required to be worded very delicately. Though nobody likes to receive the criticism, it is necessary some times. You can make your criticism constructive and encouraging with some very simple letter writing ideas. There are so many examples where such letters have played a positive role in the life of the reader.

Here are some easy tips to make your criticism letter writing constructive and helpful for the reader.

  • Follow the standard business letter writing principles in formatting this letter. 
  • Write your name, address and contact details followed by the same information of the reader. 
  • Write down the current date. 
  • Open the letter with a standard formal greeting. 
  • Compose a meaningful substance free of vagueness. Directly inform the concerned person about what has wrong according to you. Write short and understandable sentences as long and confusing sentences usually fail to deliver the real essence. 
  • Write a focused and precise message. Never write exaggerated or over dramatizing paragraphs.
  • Balance the tone of writing as it should not be too rude or too compassionate. 
  • Open your letter with a positive notion. Select your words very carefully. It should be appropriate and modest in nature. Do not write any direct negative comment on the reader. 
  • Write a motivational note. Never write it in way to disgrace or insult the person. Avoid pointing any personal characteristic. 
  • Explain what are the particular points where the action of the reader went wrong or where he/ she is supposed for modification. 
  • Mention some real life examples or the recent activities of the reader to make your point of criticism clear and understandable to the reader. 
  • Express all the negative aspects in a tricky manner without hurting the reader. 
  • Offer some solution in the last paragraph. Encourage the reader to contact you. Indicate that you are decided and eager to offer further support and advice for the betterment. This will help you to conclude your letter with a pleasant notion. 
  • Close your letter with a formal closure, for example “Respectfully,” or “Sincerely”. 
  • Proofread it carefully to avoid grammatical or punctuation errors. 
  • Mention the document in the end if you have attached any.
