How to Write a Letter of Dispute

Letter of dispute is the best way to settle your disagreements with financial institutions like bank, credit card Company, collection agency or credit bureau. You can present your side formally with it. It helps to present your points of disagreement in and organized manner.

It could be written if you disagree with a charge on your credit card statement or for some other points of dispute. You can get successful results if you are clear with the thought of how to write a dispute letter to a company. An effective such letter can convince the credit card company to refund you the overcharged money.

We have provided best tips to make your letter writing effective and successful.

  • Make precise and factual note.
  • Compose it in the standard format of official letter writing.
  • Write the name and address of the credit card company at the top left corner.
  • Enter the current date followed by the subject line.
  • Create a short and meaningful subject line such as “Dispute for charge”. You can insert your credit card number or your account number in subject line to make it more informative.
  • Start it with a formal salutation such as “Mr. / Mrs. /Ms. /……” with their name and if you are not sure about the concerned person’s name of your credit card company write “Sir or Madam”.
  • Get to the point directly in the first paragraph. Mention the relevant information regarding the charge you are disputing.
  • Provide the details of your account number, reference number or any other relevant code.
  • Do not forget to include the exact date of the statement and the amount of the charge. Provide the name, address and if possible contact number of the retailer.
  • In the middle paragraph explain your points of objection in a clear and understandable manner.
  • List all your points with a brief description. It helps the reader to understand the exact matter with an ease.
  • In the last paragraph request the credit card company to scrutinize your matter. You ask them to settle the dispute immediately in a humble tone.
  • Request them to send you a copy of the document once they remove the charge from your credit card statement.
  • Enclose a copy of documentary evidence as supportive to spell out your dispute. Mention your enclosed documents under an enclosure notation in the end.
  • Always close it with an official valediction, for instance, “Sincerely” or “Regards.”
  • Put your signature on your name to make it authentic.
