Tips for Writing an Employee Warning Letter

  • Compose it on the official letterhead as it is a highly professional and serious correspondence between the employee and the organization.
  • Write it in the full or semi block style business letter writing format to give it a professional look.
  • Make a very straightforward, precise and significant notification of reprimand.
  • Keep the tone of the letter professional, sincere and free from derogatory comment.
  • Write down your name, designation, organization, address and contact detail followed by the same information of the recipient.
  • Enter the current date on which you send it to the concerned employee. Do not abbreviate the date line as it may create ambiguity.
  • Create a short and snappy subject line. Include some relevant facts to make it crisp and significant.
  • Start it with a formal salutation.
  • State the exact matter in the opening lines. Spell out the actual issue in simple and easily available language.
  • Provide some reference of the previous verbal or written notice to highlight the sensitivity of the issue.
  • Mention some examples to demonstrate the poor performance, misconduct or the other negative traits of the recipient to make him realize his mistakes and omissions.
