Termination Letter to Employee for Cause

When an employee fails to adhere to company’s policies and procedures, he is give a few warning but when he fails to show any signs of improvement, it is then that the management has to take an action against him. In the worse of the situations, the HR manager of the company has to write a termination letter to the employee stating the cause. This has to be a formal letter which states the misbehavior or ineffectiveness of the employee to follow the company rules and regulations despite the warnings.

Dear Mr. Gibbs,

The purpose of this letter is to bring to your notice the actions that have been taken at our meeting today. The management has decided to terminate your employment with ABC Corporation Pvt. Ltd. because of erratic attendance, effective immediately.

The reason for terminating your employment, as discussed during the termination meeting, is because your attendance is not as per the policies of the Company. The HR department has already given you three written warnings in the past that were accepted and signed by you. These warnings have been filed in your personnel file. Your supervisor has also counseled you on the same thing and has repeatedly asked you to follow the Company rules in relation with attendance.

As a result of your frequent absence from work, the Company had to face various late shipments which have adversely affected the reputation of the company with the clients.

The Company has made all possible efforts to help you deal with your leaves but you have refused all the suggestions that were made to you. You were suggested an unpaid leave of absence which you denied. You were also offered cab services concerning your commuting problem and you also refused that.

Please find your final paycheck attached with this letter. You are requested to clean your locker and make sure that there are no personal items left in the premises of the company. We have received your gate entry card. Make sure you have handed over all the company assets to the HR department.

The HR department will inform you about all your benefits. Make sure that you inform the Company about your contact information to ensure that all the formalities are completed with ease.
